This privacy policy explains how Arthena Web Solutions collects, uses, stores and protects information through this website, our digital services, downloadable software and Shopify applications.

Arthena Web Solutions provides website design, hosting, support, custom business web systems, Arthena AI Tools, downloadable software, WooCommerce plugins and Shopify applications.

Information We Collect Through This Website

When you complete a contact, enquiry, quote or service form, we may collect information such as:

  • Your name and email address
  • Your phone number
  • Your business or organisation name
  • Your website address
  • Project, support or service requirements
  • Any other information you choose to provide

We use this information to respond to your enquiry, provide requested services, prepare quotes, manage support work and keep appropriate business records.

Arthena AI Accounts

When you create or use an Arthena AI account, we may collect and store information needed to operate and secure the account, including:

  • Your name and email address
  • A securely hashed version of your password rather than your plain-text password
  • Your email-verification and account status
  • Your Arthena Credit balance and credit transaction history
  • Login and account-security information, including failed login attempts and associated IP addresses where recorded for security purposes
  • Account creation, update and last-login information

We use this information to authenticate your account, provide Arthena AI Tools, maintain your credit balance, prevent misuse, investigate technical or security issues and provide customer support.

Information Submitted to Arthena AI Tools

When you use an Arthena AI Tool, we may process information that you enter or submit to the tool. Depending on the tool, this may include product information, business information, customer-review text, email notes, social-media briefs, keywords, website addresses and other text that you choose to provide.

We may also record operational information about an AI request, including:

  • The Arthena AI Tool used
  • The information submitted to the tool
  • The generated response
  • The AI provider and model used
  • The number of Arthena Credits charged or restored
  • Request status and timestamps
  • Processing duration and token-use information
  • Technical error information where a request fails
Please do not submit confidential, sensitive or personal information about another person unless you have a lawful reason and appropriate authority to do so.

Arthena AI outputs may form part of your recent account activity and may be retained where reasonably necessary to operate the service, provide support, investigate problems, maintain security and keep appropriate business records.

AI Service Providers

Arthena AI Tools use third-party artificial intelligence services to generate responses. Our current AI integration uses OpenAI.

When an AI request is made, the information reasonably required to produce the requested result is transmitted to the AI provider for processing. This may include text entered into a tool and, for website-analysis tools, relevant publicly accessible website content collected for that analysis.

Third-party AI providers process information under their own service terms, privacy arrangements and applicable data-processing agreements. Arthena aims to send only information reasonably required to perform the requested AI task.

Arthena does not operate its own general-purpose AI model and does not use customer submissions to train an Arthena AI model.

Website Analysis Tools

Some Arthena AI Tools analyse publicly accessible webpages. For example, the SEO Assistant may retrieve the webpage address submitted by the user, and the AI Website Health Check may review a small sample of publicly accessible pages from the submitted website.

For these tools we may process the submitted URL, webpage titles, headings, metadata, visible text, links and other information available from the sampled public pages where needed to produce the requested report.

Website-analysis tools are not designed to bypass passwords, access controls or other restrictions protecting private content.

Arthena Credits and AI Payments

When you purchase Arthena Credits, we may record information including your account, the credit pack purchased, number of credits, purchase amount, currency, Arthena order reference, Square order or payment reference, payment status and the date the credits were added.

Card information is entered through Square's hosted payment service and is not stored directly by Arthena Web Solutions.

Credit transaction records may also record credits used by an AI Tool, manually added credits and credits restored following a failed AI request.

Digital Software and Extension Purchases

When you purchase downloadable software directly from Arthena, including OpenCart extensions and paid WordPress or WooCommerce plugins, we may collect:

  • Your name and email address
  • The product and software version purchased
  • Your order reference and purchase amount
  • Square order and payment reference numbers
  • Payment and delivery status
  • Download-link expiry and download count
  • Your acceptance of the relevant licence and digital-download terms
  • For products where it is required at checkout, the website domain and platform version covered by the purchase

We use this information to create and manage the order, confirm payment, deliver the software, issue any applicable Arthena licence service, provide support and protect the service against misuse or fraud.

WordPress and WooCommerce Licensing & Updates

Some paid Arthena WordPress and WooCommerce plugins use Arthena's hosted licence and update service. When a customer activates, checks, deactivates or requests an update for a licensed plugin, the plugin may send the following information to Arthena:

  • The Arthena product identifier
  • The licence key for validation
  • The website URL using the licence
  • An installation or instance identifier
  • The installed plugin version
  • The WordPress version
  • The WooCommerce version, where applicable
  • The current software version when checking for updates
The licence key is used to authenticate the licence service. Normal Arthena licence records store a cryptographic hash of the licence key rather than the complete key. The complete key may be held temporarily in encrypted delivery-retry storage when required to deliver a newly purchased licence, and that encrypted delivery copy is removed after successful delivery.

Arthena records licence status and permitted site limits, together with active and released site registrations, so we can validate the licence, enforce the purchased site limit, provide licensed updates, investigate support problems and protect the service from abuse.

Licence and update requests are not used to collect the customer's WooCommerce orders, customer records or catalogue history.

Product Change History Data

Arthena Product Change History & Restore for WooCommerce records supported product changes inside the customer's own WordPress database. This may include product identifiers, previous and new values, the WordPress administrator who made the change, the time of the change and the IP address recorded by the plugin.

That product-history information remains on the customer's own WordPress installation and is not transmitted to Arthena as part of normal licence activation or automatic update checks.

The website operator using the plugin is responsible for deciding how long local product-history records are retained and for configuring the plugin's retention settings as appropriate for their organisation.

Payment Processing

Payments for products and Arthena AI credit packs purchased directly from the Arthena Web Solutions website are processed securely by Square. Card details are entered on Square's hosted checkout page and are not collected or stored directly by Arthena Web Solutions.

Square may process information needed to authorise the payment, prevent fraud, provide receipts and meet its legal or regulatory obligations. Square processes that information under its own privacy terms.

Shopify Apps

Arthena Web Solutions develops applications that integrate with Shopify. Shopify applications receive only the Shopify permissions and data needed to provide their stated functionality.

Depending on the application, this may include merchant catalogue information such as products, variants, inventory and related change-history or backup information.

Arthena Catalog Guard

Arthena Catalog Guard is designed to monitor supported changes to a merchant's Shopify product catalogue, identify certain suspicious or unexpected changes, maintain change history, provide alerts and allow supported catalogue values to be restored.

Customer Data and Arthena Catalog Guard

Catalog Guard does not require Shopify customer records, customer names, postal addresses, phone numbers, customer email addresses or order-customer information in order to provide its catalogue-protection functionality.

Catalog Guard is concerned with merchant catalogue information such as products, variants and inventory rather than information about the merchant's customers.

Catalog Guard does not install storefront tracking technology for the purpose of profiling the merchant's customers.

Shopify Privacy and Compliance Requests

Arthena Shopify applications are configured to respond to Shopify's required privacy webhook requests, including customer data requests, customer redaction requests and shop redaction requests.

Where an Arthena app does not store Shopify customer records, customer data and customer-redaction requests will normally not identify customer information held by that application.

How We Use Other Information

We may use information described in this policy to:

  • Respond to enquiries and provide requested services
  • Process and fulfil digital software purchases
  • Create and operate Arthena AI accounts
  • Process user requests and generate Arthena AI responses
  • Administer Arthena Credit balances, purchases, usage and restorations
  • Operate licence, activation and update services
  • Provide customer support
  • Maintain appropriate order, accounting and support records
  • Prevent fraud, abuse and unauthorised access
  • Maintain and improve the security and reliability of our services
  • Meet legal, tax and regulatory obligations

Depending on the circumstances, our lawful basis may include performance of a contract, compliance with a legal obligation, our legitimate interests in operating and securing the business, or consent where consent is the appropriate basis.

Sharing Your Information

We do not sell personal information.

We may share limited information where necessary with service providers that help us operate the business, such as:

  • Square for payment processing
  • Website and hosting providers
  • Email and communications providers
  • AI service providers, currently including OpenAI, when you use Arthena AI Tools
  • Professional advisers where required
  • Authorities where disclosure is required by law

We aim to share only the information reasonably required for the relevant service or purpose.

How Long We Keep Information

We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, including providing services, maintaining licence and support records, resolving disputes, preventing fraud and meeting legal, tax or accounting obligations.

Licence and site-activation records may be kept for the duration of the licence service and for a reasonable period afterwards where needed for purchase history, support, security or dispute records.

Arthena AI account, credit, payment and job records may be retained for as long as reasonably necessary to operate the account and service, maintain transaction history, provide support, investigate abuse or technical problems, resolve disputes and meet legal, accounting or security requirements.

Security

We use reasonable technical and organisational measures to protect information against unauthorised access, loss, misuse or disclosure. These measures include HTTPS for Arthena web services, access controls and protected storage for private software and licence-service information.

No website or online service can be guaranteed completely secure, but we review and improve security measures as our services develop.

Your Rights

Under UK data protection law, you may have rights over your personal information. Depending on the circumstances, these may include the right to:

  • Ask for access to personal information we hold about you
  • Ask us to correct inaccurate or incomplete information
  • Ask us to delete information in certain circumstances
  • Ask us to restrict certain processing
  • Object to certain uses of your information
  • Withdraw consent where processing relies on consent
